Privacy notice
This is an interim notice. A full privacy policy will be published on this page. CPTOX is based in Oxford, UK. Contact: info@cptox.com.
Enquiries you submit
When you use the enquiry form, we store your name, email address, optional company website and message, together with the date and time, your browser's user-agent and a one-way hashed version of your IP address (used only to limit abuse). We use this to respond to your enquiry and to discuss a possible engagement. Our lawful basis is our legitimate interest in responding to business enquiries, and steps you ask us to take before a possible contract.
Automated screening
After you submit an enquiry, an automated review uses an AI language model run on Cloudflare's platform (Workers AI) to assess whether it looks like a genuine enquiry relevant to our services. It assesses relevance only; it does not verify your identity. The possible results are: accepted (you are shown the founder's introduction and booking page straight away), held for manual review, or marked as spam. Enquiries are not declined by the automated review alone: anything not accepted is held for a person to review or, if it is clearly automated or promotional, marked as spam and kept so we can check it. You can always email us directly. If you want a person to review your enquiry, or to contest a result, email info@cptox.com.
Private introduction page
If your enquiry is accepted, we set a strictly necessary, secure session cookie so this browser can open the private introduction and booking page, and we may email you a personal access link that expires. We record when the private page is visited and whether the booking calendar was opened, so we can understand how enquiries progress. We do not treat these as a booked meeting.
Booking with Calendly
The private page embeds Calendly for booking a free introductory call. Calendly receives the details you enter or that we pre-fill (your name and email) and may set its own cookies; see Calendly's privacy notice. Where Calendly notifies us that a meeting has been booked, we record that booking against your enquiry.
Emails
We send transactional emails about your enquiry (for example a receipt or your private access link) and notify ourselves of new enquiries. Emails are sent through our email delivery provider, and we keep a log of each email and whether delivery succeeded. We do not send marketing emails.
Campaign information and cookies
This website does not use third-party analytics, advertising trackers or marketing cookies. If you arrive from a link containing campaign tags (such as UTM parameters or a Google Ads click ID), we keep those tags, the referring website and the page you landed on in your browser tab's temporary storage, and send them with your enquiry if you submit one. Nothing is sent if you don't submit an enquiry.
Service providers and retention
The website, enquiry storage, automated screening and email are hosted on Cloudflare. Calendly provides booking. Email to info@cptox.com is forwarded to and stored by our email provider. We keep enquiries and related records only as long as needed to handle the enquiry and any resulting engagement, and normally delete enquiries that do not lead to an engagement within 12 months.
Your rights
Under UK data protection law you can ask to access, correct or delete the personal data we hold about you, or object to how we use it. Email info@cptox.com. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
